MEMBERSHIP: Membership dues are currently $30 annually (pro rated to $20 if joining in September - December for NEW members only). Non-members may visit 3 times before signing up and paying dues. Get the Membership form.  Just a reminder that to be a member of a Bee, you must be a member in good standing!

SEW ON AND ON ... is published monthly by the West Houston Quilters Guild and distributed free to members.  News items, articles, and suggestions are always welcome; submissions will be subject to space considerations.

DEADLINE: Articles must be received 48 hours after close of board meeting.

When you send guild-related email to any member, include the guild initials WHQG in the subject line.  That way recipients will not hit delete without readying your message - maybe thinking that you are trying to sell health-enhancing drugs or the latest stock tips.

Board Job Descriptions

Job Descriptions

Board Members and Committee Chairs are expected to attend the monthly Board Meetings.  All Guild members are welcome and encouraged to attend.  Board meetings are on the Wednesday following the guild meeting.

Listed below are short descriptions of the board positions.

Directors
  • Attend Board meetings
President
  • Presides over the monthly General Membership meeting
  • Presides over the monthly Board meeting
  • Write monthly letter for the newsletter
Membership
  • Collect membership dues
  • Maintain membership roster
  • Coordinate with web mistress for online roster
  • Provide a printed roster for the premium members receiving newsletter via snail mail
Programs
  • Schedule General Meeting programs for the year
  • Act as liaison with guild speakers
  • Submit an article for the monthly Newsletter discussing upcoming programs.
Workshops **
  • Work with Programs Chairman and Board to decide which workshops to schedule
  • Contact Quilt 'n Sew to reserve a time for the workshops that are scheduled
  • Get supply list from speaker and make copies to hand out, also email Mindy @ QnS.
  • Announce workshops at Guild meetings
  • Sign ups members for workshops, collect fees, hand out supply list.
  • Check with speaker for needs
  • Pick up speaker (if needed) transport to workshop
  • Provide lunch and dinner for speaker (save receipts)
  • Turn money collected in to Treasurer
  • Submit a newsletter article each month.
Education
  • Plan educational meetings for the guild for 2 or 3 meetings of the year.
  • Submit an article for the monthly Newsletter discussing upcoming educational programs.
Charms/Strips
  • Choose a charm or strip theme for each month of the year.
  • Ensure the charm/strip requirements are sent to the newsletter in a timely manner.
Treasurer
  • Record keeping for the guild to maintain non-profit status
  • File taxes and reports as required
  • Banking duties
  • Monthly report summarizing finances.
  • Monthly report to the web mistress for Members Only area reporting.
Secretary
  • Record minutes for monthly board meetings
  • Record minutes for monthly General Meetings
  • Provide sign-in sheets for both board meetings and general meetings.
  • Provide sign-in sheet for Show and Tell.
  • Create report for newsletter detailing Attendance and those participating in Show and Tall.
  • Send approved board minutes to the web mistress to post on website
  • Send minutes from the General Meeting to web mistress to post on the internet.
Beekeeper
  • Keep a list of Bee's and Bee-keepers.
  • Be responsible for referring members interested in joining a bee, to one that matches their interests and/or location.
  • Coordinate with Bee Keepers to obtain Bee News for the Newsletter.
  • Liaison with web-mistress to update Bee information
Historian
  • Collect and maintain guild documents such as flyers, newsletters etc.
  • Take photographs, and/or collect copies of photographs during guild activities.
  • Start and maintain a scrapbook of above items.
Hospitality
  • Coordinate refreshments for each meeting
Librarian
  • Maintain a current inventory of books and submit it to the web site.
  • Sort donated magazines, books, and patterns to determine whether to sell or lend.
  • Add library cards, pockets, and binder tags when new books are donated or purchased.
  • Putting books in alphabetical order by title makes it easier to help members find specifics.
  • Offer magazines at pricing in line with age of issues.  Oldest for less than newer.
  • Bring library books, magazines and other sell/lend items to and from Guild meetings.
  • Remind members when books are overdue.  A monthly list of ‘checked out’ books is helpful.
  • Take suggestions from members for new book ideas.
  • Submit an article for the monthly Newsletter.
  • Submit names to newsletter of books that are 3 months overdue.
Newsletter
  • Produce newsletter each month. 
  • Mail newsletter to premium members
  • Send newsletter to web mistress to post on the website.
Website
  • Maintain website and keep content current
  • Post newsletter and notify members when the newsletter is ready
  • Post roster and other forms as needed.
Public Service
  • Be responsible for coordinating collection and finishing as needed of quilts or quilt tops.
  • Deliver finished quilts to the designated charities.
  • Bee-keeper for the Comfort Quilters Bee.
  • Submit articles for newsletter on regular basis.
Publicity
  • Solicit and report on Advertising for newsletter and website.
  • Be responsible for submitting announcements to local newspapers as needed.
  • Placing flyers /and or business cards in quilt shops/fabric stores etc.
  • Submit Sponsors and Advertisers to Newsletter on a monthly basis
Challenge
  • Organize and manage Challenge projects throughout the year
Donation Quilts
  • Pick pattern for Donation Quilt for Board approval
  • Obtain written permission to use pattern, if not original
  • Manage Timeline to complete quilt
  • Show Quilt as fundraiser
Retreats
  • Organize and manage retreats at least twice a year
